The short version

  • We collect what we need to run your training: your account details, your course progress and scores, and your certificates and transcripts.
  • We report your completed courses to licensing bodies such as TCOLE when the course is set up for it, and your agency can see the training it manages for you.
  • Payments go through Stripe. We never see or store your full card number.
  • We don't sell your personal information.
  • You can unsubscribe from marketing email, cancel a membership in the billing portal, ask for a copy of your data, or ask us to delete your account.

1. Who we are

Nuvola is an online training platform for law enforcement, public safety, government, security and other professional training. It is operated by Nuvola Networks, Inc. ("Nuvola", "we", "us"). Nuvola is powered by AMOS Labs, a technology company under common ownership with Nuvola.

Training providers, which we call academies, run their training sites on Nuvola. Classen Buck is one example. This policy covers the Nuvola platform and every academy site on it, our marketing sites (nuvola-networks.com and nuvolaacademy.com), the Nuvola iPhone app, and the emails we send. We call all of these the "Services".

If an agency or employer gives you a training seat, that organization has its own relationship with you. Its own policies also apply to how it uses the training records it can see.

2. Information we collect

Information you give us

  • Account details: your name, email address, password (stored only in encrypted, hashed form), phone number, state, and the agency or organization you train with.
  • Licensing details: for Texas peace officers and other licensed professionals, your TCOLE PID or other license number and license type, so your completed training can be credited to you.
  • Billing details: when you buy a membership or a course, your billing name and address and your payment card are collected by our payment processor, Stripe. We keep the Stripe customer and subscription references and your purchase history. We do not receive or store your full card number or security code.
  • Documents you upload: for example, a TCOLE Personal Status Report (PSR) you upload so we can show your training-cycle progress, assignments a course asks you to submit, or a profile photo.
  • Messages: support requests, ticket replies, emails you send us, and your conversations with Ask Nuvola, our in-app assistant.
  • Survey and course answers: quiz and exam answers, course evaluations, and anything else you enter in a course.
  • Other information an academy or agency asks for: some academies and agencies add their own profile fields or programs (for example, accommodation requests or volunteer details). They decide what to ask, and you can see those fields when you fill them in.
  • Instructor and payout details: if you join the instructor program or the referral program, we keep your instructor profile and the courses you submit. Payout and tax details are collected by Stripe.

Training records we create

As you train, the Services record your enrollments, course progress, time in course, quiz and exam scores and attempts, completions, certificates, and transcripts. These records are how you, your agency, and licensing bodies prove that training happened.

Information collected automatically

  • Log and device information: IP address, browser and device type, pages visited, and the date and time of each request. We record the IP address and time of each sign-in, and the country you signed up from (based on IP address).
  • Email activity: whether our emails were delivered, bounced, or marked as spam. For some marketing emails we may also record whether they were opened or a link was clicked.
  • Cookies: see Cookies and similar technologies.

Information from others

  • Your agency or academy may create your account or enroll you in courses, and may give us your name, email, license number, and organization.
  • If a colleague invites you with their referral link or by email, we know who invited you.
  • If you take a course by single sign-on through a partner, that partner sends us the details needed to sign you in.

3. How we use information

  • To deliver training: run your account, enroll you, play courses, track progress, grade quizzes, and issue certificates and transcripts.
  • To report your training to licensing bodies and to the agency that manages your training (see the next section).
  • To bill you: process purchases, memberships, agency invoices, renewals, and failed-payment notices.
  • To support you: answer questions, fix problems, and route support requests. Ask Nuvola and our support tools use AI to help answer and sort requests (see AI features).
  • To send service email: account, course, certificate, receipt, and security messages. These aren't marketing, so you can't opt out of them while your account is active.
  • To send marketing email about courses, memberships, and news. Every marketing email has an unsubscribe link. When an academy turns on text messages, we may also send course or account notices by SMS.
  • To keep the Services safe: prevent fraud, spam, and account sharing; protect accounts; and enforce our Terms of Service.
  • To improve the Services: understand which courses and features are used and fix what isn't working. When we analyze training data across academies, we remove names and contact details first.
  • To meet legal duties: keep required records, respond to lawful requests, and resolve disputes.

4. Reporting to licensing bodies and agencies

Many courses on Nuvola count toward a license. When you complete a course that is set up for credit reporting, we send your completion to the licensing body's system on your behalf. For Texas peace officers, that is TCOLE's reporting system (TCLEDDS). A report includes your name, your PID or license number, the course, the hours, and the completion date.

If your agency or employer provides your seat, or you train under an agency on Nuvola, that agency's administrators and training coordinators can see your profile and training records for the training they manage, and can run reports on them.

Licensing bodies decide what credit a course earns. If your license number is missing or wrong, a report can fail or be credited to the wrong person, so please keep it accurate.

5. How we share information

We don't sell your personal information. We share it only in these cases:

  • With your agency or organization, as described above.
  • With the academy that offers your course, which can see the enrollments, progress, and results for its courses, and can contact you about them.
  • With licensing bodies, to report your training for credit.
  • With service providers that run parts of the Services for us, listed in the next section. They may use your information only to provide their services to us.
  • For legal reasons: when we believe in good faith that the law, a subpoena, or another legal process requires it, or that it is needed to protect the safety, rights, or property of you, others, or Nuvola, or to investigate fraud, security problems, or violations of our terms.
  • In a business transfer: with our affiliates, or with a buyer or successor if Nuvola or an academy is involved in a merger, sale of assets, or similar transaction, including review before the deal. This policy would continue to apply to the information transferred.
  • With your permission, or at your direction.

We may share reports that don't identify anyone, such as course completion totals.

6. Service providers

These companies process information for us so we can run the Services. We use them under their business terms.

7. AI features

Nuvola uses AI in several places: Ask Nuvola (the assistant in your account), sorting and drafting replies to support requests, reading documents you upload (such as a TCOLE PSR), and helping academies build courses. When you use these features, the content needed to answer, such as your question, the relevant course or account details, or the uploaded document, is sent to the AI provider that handles that request.

We keep your Ask Nuvola conversations with your account so you can pick up where you left off and so we can review and improve answers. Ask Nuvola may also save short notes about you, such as your preferences, to help in later conversations. Ask it "what do you remember about me?" to see them, and ask it to forget any of them. AI answers can be wrong. See the Terms of Service for more.

8. Cookies and similar technologies

Cookies are small files your browser stores. We use them in these ways:

  • Required cookies keep you signed in, remember your session and security tokens, and protect forms. The Services don't work without them.
  • Analytics and advertising measurement: our sites use Google Analytics to understand traffic, and academy sites load a Google Ads tag that measures whether our ads lead to sign-ups and purchases. These Google tools may set their own cookies.
  • Social features: academy sites load Facebook's JavaScript SDK for social features, which may set Facebook cookies.
  • Spam protection: Google reCAPTCHA checks some forms, such as the contact form, to tell people from bots.

You can block or delete cookies in your browser settings. If you block required cookies, you won't be able to sign in. You can also use Google's ad settings and opt-out tools to limit Google's use of this information.

9. The Nuvola iPhone app

  • The app uses the same account as the website. Everything in this policy applies to it.
  • When you sign in, the app stores a sign-in token in the iOS Keychain on your device so you stay signed in. It doesn't store your password.
  • The app has no ads and contains no third-party advertising or analytics software. It doesn't use Apple's advertising identifier and doesn't track you across other companies' apps or websites.
  • The app doesn't ask for your location, contacts, camera, or photos.
  • Courses, lessons, and certificates open in an in-app browser that shows the same pages as our website, so the website's cookies apply there. Links to other websites open in Safari.
  • Purchases aren't made in the app.

10. Your choices and rights

  • See and correct your information: update your profile in your account at any time. Your agency or academy can also correct records it manages. To change a license number that is already set, contact support, because a wrong number can credit training to another person.
  • Get a copy of your data: ask Ask Nuvola to "export my account" for a summary of your profile, enrollments, certificates, transcripts, and quiz attempts, or ask support for a full export.
  • Marketing email: click the unsubscribe link in any marketing email.
  • Cancel a membership: use Manage subscription in your account to open the Stripe billing portal.
  • Delete your account: email support@nuvolaacademy.com from the address on your account, or use the support page. We'll close your account and delete or de-identify your personal information, except records we must keep (see How long we keep information).
  • Cookies: use your browser settings, as described above.

We may need to confirm your identity before acting on a request. If your seat comes from an agency, some requests about agency-managed records may need to go through that agency.

11. State privacy rights

Depending on where you live, state privacy laws, such as the Texas Data Privacy and Security Act and the California Consumer Privacy Act, may give you rights to know what personal information we have about you, to get a copy of it, to correct it, to delete it, and to opt out of the sale of personal information, targeted advertising, or certain profiling. Where those laws apply to us, we will honor these requests as they require. We don't sell personal information, and we won't treat you differently for using your rights.

To make a request, email support@nuvolaacademy.com with "Privacy request" in the subject. You may use an authorized agent where the law allows. If we deny your request, you can appeal by replying to our answer and asking us to reconsider. If you still disagree, you may contact your state attorney general.

12. How long we keep information

We keep account information while your account is open. Training records, such as completions, certificates, transcripts, and reports to licensing bodies, serve as proof of training for you, your agency, and regulators. We keep them for as long as they may be needed for licensing, compliance, audit, or legal purposes, even after an account is closed. We keep billing records as tax and accounting rules require. We keep other information only as long as needed for the purposes in this policy, then delete it or remove the details that identify you.

13. Security

We encrypt information in transit with HTTPS, store passwords only in hashed form, limit who on our team can reach personal information, and give agency and academy administrators access only to the people and courses they manage. Our systems run on Amazon Web Services. No system is perfectly secure, so we can't guarantee that information will never be accessed without permission. Please use a strong password, don't share it, and tell us right away if you think your account has been misused.

14. Children

Nuvola is built for adult professionals. You must be at least 18 to create an account. We don't knowingly collect personal information from anyone under 18. If we learn that we have, we will delete it. If you believe a minor has given us information, contact us.

15. Changes to this policy

We update this policy when our practices change. The date at the top shows the latest version. If we make a material change, we will tell you by email or with a notice in the Services before the change takes effect.
